The Role:
The Office Manager position is a high-visibility role providing support to the Country Manager of PT Worley in our Jakarta office. This position requires strong judgment, professionalism, and confidentiality in dealing with high-profile situations that require tact and diplomacy and interacting effectively with business counterparts, customers and partner companies. The individual will have demonstrated experience and appreciation in handling confidential and privileged information at the executive level.
Specific Accountabilities
- Handles all executive assistant and administrative support to the Country Manager with a high level of independence, initiative, discretion, accuracy, and attention to detail.
- Provide admin assistance for about 50 staffs in PT Worley to provide efficient and effective admin and facilities support in alignment with business strategy and budget. He/she must also assist in the setting up of new office premises in other areas of Indonesia or at the client’s site.
- Make travel arrangements for the Senior Management staffs and assistance to his/her direct reports or corporate visitors if required which includes logistics like ticketing, hotel bookings and arranging for local transport.
- Supporting and maintaining documentation and filing, with reference to confidential issues.
- Be involved in some purchasing or procurement of office related matters.
- Conduct research, collect, and analyze data to generate high-quality and technical reports and presentation material.
- Ownership of Team meetings and All Hands meetings, including scheduling dates/times, room reservations, agenda development, recording, transcribing, and distributing minutes of meetings.
- Responsible for logistics of meetings that may include venue contract negotiation, agenda development, catering, and stewardship to keep within budget.
- Performs other duties as assigned.
- A Recognise Bachelor Degree in any disciplines (preferably in English Literature or Business Administrative).
- Minimum five (5) years of experience working as either a Project Secretary, Office Manager, Senior Admin Assistant or its equivalent.
- Well versed in Microsoft office.
- Advanced skills in communications and teamwork.
- Good written and spoken skills in English.
- Able to work independently and is a detailed oriented individual
- Preferably someone who has worked in multinational environment will be ideal but not a must.
